Personal Assistant

Playing a key part in providing first class administrative support to senior level management.  This will also include all management of administration including and not exhaustive of fixed costs and budget monitoring and tracking, cross charging, external vendor tracking & liaison. The pace and breadth of the role mean that every day will throw something new at you. And you’ll respond effectively every time. 


You’ll succeed because...
You have typically 2-3 years’ experience as a Team Assistant in a preferably multi-national business    
You have experience in working in a fast pace environment and able to use entrepreneurial skills in terms of innovation and problem solving
You have experience in budget tracking and are commercial awareness
You have exceptional calendar management skills and you are an effective time manager
You are assertive and proactive - able to manage own workload, to take ownership and resolve issues
You can work on own initiative, to demonstrate attention to detail, to work to tight deadlines and to work with integrity and with highest quality
The business language in RB is English, therefore fluency in English (verbally and written) is essential and fluency in other languages advantageous
You are proficient in MS Excel, PowerPoint, Outlook, Word, SharePoint, MS Teams

You speak Dutch fluently.

You’re a natural multitasker, with the confidence to take ownership and make decisions & prioritize when needed.

Multiple directors complexed diary management
Organisation of complex travel arrangements inclusive of all travel documents (visa, passports & invitation letters etc) at best quality and cost efficiency and preparation of travel itineraries.
Organise, co-ordinate meetings / conferences / annual calendar
Manage expenses for team
Create Purchase orders
First point of contact both internally and externally
General administrative and organisational matters for the department such as onboarding, offboarding, coordination supermarket room, etc.
Monitor monthly overview of budget status (travel, expenses, fixed costs incl. associated cross charging) and keep track compare to assigned budget 
Ensure accuracy, compliance with company policies and awareness within the department
Work closely with Directors and global marketing assistants’ team to achieve mutual objectives and business goals
Support the other Assistants during high volume periods and cover for all absences as and when required
